Hi, I am Diana Peers. I am a sole trader and I operate under the name Once upon a tune. This Privacy Policy explains how I use any personal information that you provide to me during your dealings with Once upon a tune. Personal information includes any information that identifies you personally, such as your name, address, email address or telephone number.

What personal information I collect
When you contact me using the form on my contact page I collect your name, email address and telephone number if you have completed these fields.
When you contact me by telephone I collect your name, and if you provide them, your telephone number and email address.
When you contact me by email I collect your name and email address, and if you provide it, your telephone number.
When you contact me by text I collect your name and telephone number.
During the course of providing my services to you I collect your postal address if you provide it.
Occasionally when conducting sessions I will take photos or have photos taken for me by others.

How I use your personal information
I use the information you give me to:
• Respond to your queries
• Provide services to you
• Invoice you and manage payment
• Provide you with news and information about my activities
• Contact you to enquire if you have a need for my services
I use photos selectively on my website to illustrate the services that I provide. If you are identifiable in a photo that I wish to use, I will first seek your consent.
I treat your personal information confidentially and do not share your information with third parties without your consent. The exception to this would be if I receive a request for information and I reasonably believe that disclosure is in accordance with or required by any applicable law, regulation or legal process.

Lawful basis for processing personal information
My collection and use of your personal information for the purposes of communicating and doing business with you constitutes processing and I am required to have a valid lawful basis for that.
Where you have voluntarily provided me with your personal information in order for me to respond to your enquiry or to provide you with a quotation or where you have engaged me to provide services to you, the lawful basis for my processing of your information is Contract. This still applies if our dealings don’t progress beyond the enquiry stage. The personal information is necessary for me to be able to communicate with you in order for me to inform you about my services and in the planning of and delivery of the service to you.
Where I have obtained your personal information from a third party and used it to contact you to make you aware of the services that I offer, the lawful basis for my processing your information is Legitimate Interest. If you do not wish me to hold or use your personal information, please let me know.
Where I use a photo in which you can be identified, the lawful basis for my processing your information is Consent. I will obtain your consent before using such a photo. You can withdraw this consent at any time.

How I store your information
Information that you provide to me by email is held in my Once upon a tune email account. The email account is securely provided by a reputable provider of long standing. The account is password protected and only accessed through devices that require a password, pin or fingerprint to access them.
Where there has been telephone contact between us, your name and telephone number are held in my mobile phone. My phone requires a pin or fingerprint to access it and is kept up to date with the latest security updates. If you become a customer then I will add these details to my Contacts list which is held on my mobile phone. My phone is backed up to a cloud service that also requires a pin or fingerprint to access it.
Where I have provided you with a written quotation, invoice or receipt on Once upon a tune headed paper this will contain your name and may contain, where you have provided it, your postal address. These documents have been generated and are stored offline, on a desktop computer. Access to the computer is restricted and requires a login id and password or pin. The computer has leading brand security software which is maintained up to date.
Any documents that I send to you by email will also be held in my Once upon a tune email account.
Photos are held on my mobile phone and cloud back up or desktop computer. Protections for these devices are as described above.

Your data protection rights
I trust that you won’t have any issues with my using your personal information in the way that this privacy policy describes. It is imperative however that you have control over your personal information, so it is important that you are aware of your data protection rights. You are entitled to the following:

I will respond to a request pertaining to these rights within one month of receiving the request. There will be no charge for this.
